Car rental software for small and independent fleets

Setup has two parts. After a short conversation about your fleet, our team creates your NordFleet account on its own company subdomain. You then add your vehicle groups, cars and rates, which takes one short form per car and per rate. There is nothing to install: NordFleet runs in the browser on desktop, tablet and phone.

Yes. Most operators start by adding their vehicle groups and cars, then enter upcoming reservations and keep the old spreadsheet read-only for reference. If you have a lot of data in another system, talk to our team about moving it across.

Per vehicle, never per user. The Rental and Fleet Management modules are priced separately, and combining them saves 15%. Fleets of up to 3 vehicles are free forever. The Rental module then costs €25 per month for 4-7 vehicles, €50 for 8-15, €50 plus €3 per vehicle above 15 for up to 50 vehicles, and €155 plus €2 per vehicle above 50.

Yes. The workflow is the same at any size: vehicle groups, a fleet chart, reservations and rentals. Five cars fall into the Micro plan and fifty into Growth, and every plan includes all features of its module and unlimited team members.

Yes, through the NordFleet booking API. Your web developer connects your website once, so customers can check availability, get a price from your rate cards and submit a booking. Each booking arrives in your dashboard as a pending reservation for your team to confirm.

Seasonal rates, yes. Each vehicle group can have several rate cards with start and end dates, and the rate valid on the pickup date prices the whole rental. Quotes for website bookings switch to your weekly rate from 7 days and your monthly rate from 30 days, and at the counter your staff can adjust the daily rate for longer rentals. NordFleet does not change prices by itself based on demand (dynamic pricing): you set every rate, and each rental keeps the rate it was created with.

When a customer collects a car, the reservation becomes a rental on that specific vehicle. A PostgreSQL exclusion constraint then rejects any other rental on the same car for overlapping dates, even if two staff members try at the same moment. Reservations themselves may overlap, so assigning a car to each one shows on the fleet chart exactly which cars are booked.

At check-out you choose the car, and NordFleet records the pickup odometer, deposit and payment method. At return, a guided check-in records mileage, fuel level, exterior, interior and tire condition and any damage notes, adds extra charges, recalculates the rental charge for the actual days, and prints the return condition on the rental agreement.

The Rental module runs the rental business: fleet chart, reservations, check-out and check-in, driver records, pricing, PDF documents and the booking API. The Fleet Management module covers vehicle upkeep: maintenance, insurance policies and fuel logs. Use either on its own, or combine both and save 15%.

Yes. You enter them once in settings: your logo, company and bank details and payment instructions appear on invoices, your rental terms print on every rental agreement, and your terms and conditions appear on reservation confirmations.

Yes. With 3 or fewer vehicles you pay nothing, with no trial period and no credit card. You get the same features as the paid plans of the same module.
